Information Venture Partners is looking for an Executive Assistant/Office Manager to provide administrative assistance and support to our team. We are a small, entrepreneur-friendly venture capital firm of 4 partners, 3 additional investment professionals and a marketing/community manager. We invest in FinTech and Enterprise SaaS companies in Canada and the US (e.g. Flybits, Sensibill, Coconut Software, Verafin, YayPay and LendingFront). Our office is located in downtown Toronto.

We are looking for someone who can multi-task and assist us with a range of office and business activities. We would prefer to hire a career professional with prior executive assistant and office administrative experience, but we are open to considering candidates with a varied base of experience that is relevant to the role. Principal Activities and Responsibilities:
* Meet and greet guests
* Help coordinate meetings with our portfolio companies and communicate with their senior management
* Manage business calendars and coordinate meetings
* Make travel arrangements for partners and assist with travel for the rest of the team
* Track expenses/reimbursement
* Help set up special events in our office, as well as our annual meeting and other industry and community events our firm may participate in
* Answering and screening calls, respond to inquiries
* Enter and maintain contact information in our CRM system
* Assist with paperwork and ad hoc projects
* Establish and maintain the company’s physical and on-line filing systems
* Stock and maintain supplies for office/kitchen
* Liaise with property management team as well as IT service and other equipment or service providers to ensure smooth operations of the office

Qualifications:
* Pleasant personality, a positive attitude and service orientation
* Excellent communication, interpersonal and organization skills
* Ability to multi-task and work with limited supervision, with an extreme attention to detail
* Collaborative and team focused
* Comfortable interacting with senior executives and institutional investors
* Demonstrated professionalism and an understanding of the importance of confidentiality
* A problem solver and proactive thinker, anticipating needs of team, comfortable with ambiguity
* Proficient in word processing, spreadsheets and PowerPoint
* Ability to be flexible as needed (extra hours may be required on occasion)
* Seven to ten years of relevant experience, ideally supporting teams in professional services (e.g., 
venture capital, private equity, management consulting, or investment banking) or in high 
growth technology companies
* Relevant diploma, certificate or degree from a college or university
